Academic Transcripts
Clerk: Good afternoon. Welcome to the Registrar"s Office. I am Pam.
Student: Hi, I would like information on how to get academic transcripts.
Clerk: There are two versions of official student"s records available from Academic Record Services at Harley House. These are the academic transcript and the verification transcript.
Student: What is the difference?
Clerk: The academic transcript is the student"s complete academic record. It includes a list of all courses taken, units, transfer credit, grades, grade-point average and earned degrees. If you are presently enrolled in a course, it also contains in-progress information. There is also other in-progress information such as change in major or the removal of an incomplete grade.
Student: And what is the verification transcript?
Clerk: This transcript certifies registration, enrollment status and degrees. For example, to get a bus pass or to get a good student discount on your car insurance, it would be required. The fee for a verification transcript is waived if requested for student loan or aid. Otherwise the fee is $3.
Student: I think I need an academic transcript.
Clerk: Official transcripts are printed on security paper to safeguard against unauthorized duplication or misrepresentation. The security paper is green with a faint university crest in the background. Authentication details are located in the top right comer. Your actual transcript of courses and grades is on the reverse side of the document.
Student: How much does this cost?
Clerk: These are presently $10 each.
Student: How can I get one?
Clerk: They can be ordered by sending a request to the Registrar"s Office. Your request should include the name you were registered under while attending here, your dates of attendance, your date of birth, your social security number and/or your student ID, your complete address and phone number and the number of copies you need. If they are to be sent directly to another university, detailed mailing instructions are necessary. The request must have your signature.
Student: Yes, I am applying to five different medical schools, so my transcripts must be mailed directly to them.
Clerk: Yes, we do that all the time.
Student: So, this will cost me $50. How can I pay?
Clerk: You can pay by cash at Harley House on campus, or mail a personal check, or download a credit card form from our website. If you are mailing in your request, make sure you have all the required information and your signature.
Student: How long does it take for you to mail out the transcripts after you get my request?
Clerk: They will be processed and sent by regular mail within five working days. If you require speedier service, the fee doubles to $20.
Student: Okay. Thanks for Your help.
Clerk: You are welcome.
